Position:                     Administrative Assistant       

Department:              Sales

Primary Responsibilities:

·       The sales assistant works directly with sales managers in a fast-paced environment and is responsible for preparing correspondence to include letters, and contracts. Answering the phone, copying, scanning, emailing and faxing documents as well as file maintenance are daily responsibilities of the sales assistant.

Secondary Responsibilities:

·       Additional responsibilities include assisting the managers with itineraries for client site visits and constructing group bookings in the Resort Property Management System (Opera).

Past Work Experience Requirements:

·       Experience in Service Administration, Customer Service or Customer Support role

Educational Requirements:

·         High School Diploma or G.E.D.

·         Experience as an Assistant or in Customer Service

·         1 - 3 years' work experience, preferably in a Service Administration, Customer Service or Customer Support role

Communication Skills Requirements:

·       Must have excellent written and oral skills

·       Must have the ability to compose business letters with emphasis on good grammar

·       Courteous phone etiquette

Technical Requirements:

·       Ability to work effectively with multiple internal and external customers and manage priorities and projects in a fast-paced environment

·       Computer skills to include proficiency in Microsoft Word, Excel and PowerPoint

·       Internet research skills demonstrating the ability to research and gather data

·       Good organization skills

·       Willing to learn new tasks, coachable and a quick study

Physical Requirements:

·         

·         Must be able to lift 10-20 lbs.

Work Conditions:

·         Some noise in work area

·         


·         Reports to Vice President of Sales and Event Services

·         Independent thought and ability to coordinate priorities with others but also be a team player

·         Must be detail oriented

Other Requirements:

·         Flexibility to meet guest/employer needs

·         Ability to coordinate workloads and various assignments in accordance with priorities
